    • AI Assistant, App, and Tool Integrations
      • We make certain Circuitry.ai capabilities available through the App, including applications and connectors offered within third-party AI assistant platforms. When you or an AI assistant acting on your instruction invokes one of our tools, the following applies in addition to the rest of this policy.
    • Information we collect through the App.
      • Tool inputs. The prompts, questions, search terms, parameters, identifiers, file references, and attachments submitted to our tools, including free text you type and content the assistant derives from your conversation in order to call a tool.
      • Tool outputs. The complete response our tools return, including records retrieved from your account or organization (such as case, service, warranty, claim, parts, product, order, and entitlement records), any personal information contained in those records (such as name, email address, telephone number, postal address, employer, and job title), and all nested objects, arrays, and child records within a response.
      • Account and authorization data. Your user and organization (tenant) identifiers, email address, display name, role and permission scopes, authentication and OAuth tokens, and connection status.
      • Technical, diagnostic, and debug data. Request, session, and correlation identifiers; timestamps; tool, API, and client version; status and error codes; latency and rate-limit counters; stack traces and exception messages; and truncated request and response payloads recorded in our logs. These diagnostic fields may contain personal information that appears in the underlying record.
      • Usage data. Which tools were invoked, how frequently, by which account, and whether each invocation succeeded or failed.
      • How we use it. To authenticate you and verify your authorization for the request; to execute the tool you invoked and return the result; to provide customer support and troubleshoot errors; to monitor security, detect and prevent fraud and abuse, and enforce usage limits; to comply with legal obligations; and to maintain and improve the reliability and quality of the App using aggregated or de-identified data. We do not use tool inputs or tool outputs to train third-party foundation models, we do not sell them, and we do not use them for targeted or cross-context behavioral advertising.
      • Who receives it. The AI assistant platform through which you invoke the App receives the tool inputs it transmits to us and the tool outputs we return, and processes that information under its own privacy policy and its agreement with you. We also disclose this information to our cloud hosting, logging, monitoring, and support providers, who act as our service providers under written contract and may use it only to perform services for us, and to the recipients described in Disclosure of Your Information. A current list of our sub-processors and model providers, and the categories of data each receives, is maintained at https://circuitry.ai/our-subprocessors.
      • Data minimization. Our tools are configured to return only the fields required to fulfill the request. Where a field is not necessary for the requested function, we remove it from the response or omit it from our logs.
      • How long we keep it. As described in Data Retention.
      • Your controls. You may disconnect or revoke the App at any time from your AI assistant platform's connection settings or from your Circuitry.ai account, which immediately ends our ability to receive new requests from that platform. You may request access to, correction of, a copy of, or deletion of information associated with your use of the App by emailing privacy@circuitry.ai. Revoking the App does not delete information already collected; use the request process above to have it deleted.

How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal information:

    • To present our Website, our services, and its contents to you.
    • To provide you with information, products, or services that you request from us.
    • To fulfill any other purpose for which you provide it.
    • To provide you with notices about your account or subscription, including expiration and renewal notices.
    • For billing payment, or account management.
    • To carry out our obligations and enforce our rights arising from any contracts entered into between you and us, including for billing and collection.
    • To notify you about changes to our Website or any products or services we offer or provide through it.
    • To allow you to participate in interactive features on our Website.
    • To register and provide you with training and certification programs.
    • To send you notifications about our services, including technical notices, updates, and security alerts.
    • To contact you to conduct surveys and for market research purposes.

    • To AI assistant platform providers and model hosting providers, where you have connected or invoked the App through their service, limited to the tool inputs and tool outputs necessary to complete your request. These providers are identified at https://circuitry.ai/our-subprocessors.
    • To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Circuitry.ai's assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which personal information held by Circuitry.ai about our Website users is among the assets transferred.
    • To third parties to market their products or services to you if you have not opted out of these disclosures.
    • To fulfill the purpose for which you provide it.
    • For any other purpose disclosed by us when you provide the information.
    • With your consent.

We may also disclose your personal information:

    • To comply with any court order, law, or legal process, including to respond to any government or regulatory request.
    • To enforce or apply our Terms of Use and other agreements, including for billing and collection purposes.

Choices About How We Use and Disclose Your Information

We strive to provide you with choices regarding the personal information you provide to us. We have created mechanisms to provide you with the following control over your information:

    • Tracking Technologies and Advertising. You can set your browser to refuse all or some browser cookies, or to alert you when cookies are being sent. If you disable or refuse cookies, please note that some parts of this site may then be inaccessible or not function properly.
    • Promotional Offers from the Company. If you do not wish to have your contact information used by the Company to promote our own or third parties' products or services, you can opt-out by following the links to “unsubscribe” or “manage preferences” in the email footer. If we have sent you a promotional email, you may send us a return email asking to be omitted from future email distributions. This opt out does not apply to information provided to the Company as a result of a product purchase, warranty registration, product service experience or other transactions.

However these third parties may provide you with ways to choose not to have your information collected or used in this way. You can opt out of receiving targeted ads from members of the Network Advertising Initiative ("NAI") on the NAI's website.

Accessing and Correcting Your Information

You can review and change your personal information by logging into the Website and visiting your account profile page.

You may also send us an email at privacy@circuitry.ai to request access to, correct, or delete any personal information that you have provided to us. We cannot delete your personal information except by also deleting your user account. We may not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect.

Text Messaging (SMS) Privacy

Mobile phone numbers and SMS opt-in consent collected through our text message program are used solely to send the messages you have requested and to provide related support. No mobile information including phone numbers and SMS consent, will be shared with or sold to any third parties or affiliates for marketing or promotional purposes. Information may be shared only with service providers who help us operate the messaging program, and only as needed to deliver these messages.

Message frequency varies based on your claim activity. Message and data rates may apply. You can opt out at any time by replying STOP, or reply HELP for assistance.

European Economic Area, UK, and Switzerland

Nevada provides its residents with a limited right to opt-out of certain personal information sales. However, please know we do not currently sell data triggering that statute's opt-out requirements.

Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this policy, and then delete it or de-identify it. Where you have a right to request deletion, we honor that request as described in Accessing and Correcting Your Information and in the regional rights sections above. Our current retention periods are:

Account, profile, and contact records: for the life of your account and for 12 months after the account is closed.

Tool inputs and tool outputs from the App: retained transiently to execute the request; retained in operational logs for up to 30 days, after which they are deleted or de-identified.

Technical, diagnostic, debug, and error logs: up to 30 days.

Security, authentication, and audit logs: up to 12 months.

Transaction, billing, tax, and accounting records: for the period required by applicable law, generally 7 years.

Marketing and communication preferences: until you unsubscribe, after which we keep a minimal suppression record so we can continue to honor your opt-out.

Website analytics and cookie data: up to 13 months.

We may retain information for longer where required by law, or where necessary to establish, exercise, or defend legal claims, and we retain aggregated or de-identified data that can no longer be linked to you without time limit.

Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Website, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Website.
